Access to collections

The National Museum in Krakow provides access for filming to objects owned by the National Museum in Krakow that are in the public domain and are not subject to conservation restrictions.

The National Museum in Krakow does not provide access for filming to objects:

  • covered by economic copyrights for which the NMK does not have an established legal title with the right to grant further licenses, or the authorization does not cover the fields of exploitation requested by the client, and in the case of objects owned by third parties – also lacking the consent of the object’s owner to provide access for this purpose
  • owned by third parties for which the NMK does not have an established legal title to property rights, with the right to grant further licenses or the consent of the object’s owner to provide access for this purpose, unless the client submits the consent of the object’s owner in writing, as specified in the Rules and Regulations
  • excluded from photography for conservation reasons, based on a conservator’s opinion due to their state of preservation or ongoing conservation works
  • requiring transport or dismantling due to the fact that the method of their storage or exhibition prevents filming, when dismantling or transporting the object is not possible due to its state of preservation or other conservation indications
  • whose filming is not possible for technical reasons (access to the object, conditions precluding the possibility of taking proper shots), and the organization of transport or dismantling is limited by the reasons stated in the point above

Access for filming is granted upon signing a filming access agreement. Due to the time required for arrangements and processing the agreement, applications submitted at too short notice, i.e., less than 14 working days from the date of submitting the application to the planned date of filming, may not be processed. The Museum reserves this time as it is necessary to check the availability of objects in terms of conservation, copyright, and ownership. Access for filming is subject to a fee, in accordance with the current price list

GUIDELINES FOR LOANING OBJECTS FROM THE NATIONAL MUSEUM IN KRAKOW

INTRODUCTION (domestic and international loans)

The policy of the National Museum in Krakow is to make objects available whenever a loan is possible—that is, when the object is in a conservation condition that allows for its travel and exhibition, and when it is not included in our own exhibition plans. Loans are an important element of making the national collections accessible to the widest possible audience and enabling them to be viewed in a new setting. Therefore, we strive to look favorably upon the requests we receive. We frequently loan our collections to various institutions domestically, as well as to many museums and cultural facilities abroad. The National Museum in Krakow lends over 400 objects on a long-term basis annually, and approximately 3,500 objects are loaned on a short-term basis. The decision regarding a potential loan of an object depends on numerous factors, which will be explained in these guidelines.

These guidelines aim to provide support in successfully applying for a loan from our collections. Following the initial approval of the application, the borrower is expected to fulfill a series of conditions. The conditions of the loan, the loan policy, as well as the environmental conditions that must be met in the event of a loan, are included at the end of these guidelines.

The National Museum in Krakow has a Section for the Movement of Museum Objects and Scientific Inquiries within the Inventory Department, which handles the coordination of loans from all Museum departments. Contact information is provided at the end of the guidelines.


Who can borrow objects? (domestic and international)
The NMK considers loan requests submitted by any museum, gallery, or other cultural institution. As a rule, objects are not loaned to private individuals. Objects are loaned for the purpose of public exhibition, specialized research, or conservation.

The decision regarding a loan depends on a number of factors, including:

  • Whether the objects are not included in the Museum’s exhibition plans or have been previously requested for a loan by another institution.
  • Whether the storage and exhibition conditions meet the standards adopted by the NMK.
  • Whether the security measures at the proposed exhibition venue are adequate and comply with the requirements of the Regulation of the Minister of Culture and National Heritage of September 2, 2014, on safeguarding museum collections against fire, theft, and other dangers threatening their destruction or loss (Journal of Laws of 2014, item 1240).
  • Whether the objects will be made accessible to the public.
  • Whether their state of preservation allows for travel.
  • Whether the exhibition plan or scenario is consistent with the Mission of the National Museum in Krakow and corresponds to the rank of the objects requested for the loan.
  • When the object was last loaned or exhibited (important for requests to loan particularly sensitive objects, e.g., works on paper or textiles).

How to apply for a loan? (domestic and international loans)

All exhibition loan requests must be directed in writing to the Director of the National Museum in Krakow or submitted using our online application form. In your application, please specify the following:

  • A list of objects with NMK inventory numbers.
  • Dates and title of the exhibition or project.
  • Scope and substantive plan of the exhibition or project.
  • Contact information of the organizer and/or exhibition venue(s) / entry in the National Court Register (KRS), entry in the Register of Cultural Institutions, etc.


If you are not sure which objects you would like to borrow or what objects the NMK holds in its collections, you should first contact the appropriate curator, as they will be best equipped to advise you on selecting the right objects. Inquiries within the Departments should be conducted through the Section for the Movement of Museum Objects and Scientific Inquiries by contacting them via email at: bmaj@mnk.pl or pnowak@mnk.pl. Next, we recommend visiting the Museum to see the items before submitting a loan request. Such a visit can be arranged with the collection curator, also through the aforementioned Section.

Please ensure that you have enough time for the research described above and that, after obtaining detailed information about the items, there is enough time to submit the application nine months in advance. Every loan request to a domestic institution must be submitted at least nine months prior to the expected loan date. For international loans, a lead time of one year is recommended.


Decision-making process (both versions)

Upon receiving a loan request addressed to the Director of the National Museum in Krakow, it is forwarded to the Section for the Movement of Museum Objects and Scientific Inquiries, which, based on the opinions of the collection curators and conservators, proceeds or declines to proceed with the loan.

The request may be approved on the condition that the borrower fulfills all the stipulated loan conditions. Subsequently, the Section for the Movement of Museum Objects and Scientific Inquiries will order a review of the exhibition venue in terms of security, environmental conditions, and display capabilities. In case of any doubts, an in situ visit by conservators and security specialists will be arranged. Preparation of borrowed objects for shipment (both versions)

For the loan decision to be approved by the Director, the staff of the Conservation and Collection Storage Division will prepare a detailed assessment of the objects’ condition—determining whether they are in good enough condition to be loaned. Upon receiving a positive opinion from the collection curators and conservators, the Section for the Movement of Museum Objects and Scientific Inquiries will notify the applicant in writing which objects listed in the request are in good condition and qualify for the loan. If the objects are not suitable for loan, the borrower will also be notified of this as soon as possible, and, if feasible, the possibility of borrowing other objects will be discussed. Subsequently, the Conservation and Collection Storage Division will recommend environmental conditions and packaging requirements. Furthermore, it will provide condition reports, which will always travel with the objects.

To finalize the loan, following its conditional approval, the National Museum in Krakow must agree on the loan conditions with the Borrower, and prior to the delivery of the objects, a loan agreement must be signed. All conditions of the loan agreement must be met. The conditions for loaning objects from the Museum are located at the end of this document.


Costs (domestic loans)

The Borrower is responsible for all costs incurred in connection with the loan. The NMK does not charge loan fees, i.e., administrative costs, general packaging, and conservation costs—provided its execution is included in the conservation plans for the given year. We will only charge you for the costs of preparation for the loan, including the costs of necessary conservation treatments. In justified cases (for particularly valuable or sensitive objects), we will charge you for the costs of an NMK courier’s stay. The cost of transport, and the potential costs of producing specialized crates needed to transport the objects, remain the responsibility of the borrower.

If photography is required, for example for an exhibition catalog, orders should be sent to the Customer Service Department via Anna Studnicka (astudnicka@mnk.pl). In this case as well, the request must be submitted with at least three months’ notice. The National Museum will inform you of the estimated costs, should any arise.

Please bear in mind that transport costs are usually the most expensive element of a loan. Please include these costs in your designated loan budget.


Costs (international loans)

In the case of international loans, please bear in mind that you, as the Borrower, bear all costs arising from the loan of the object. Borrowers are responsible for paying all insurance premiums, transport costs, freight forwarding fees, travel and per diem expenses of the accompanying courier who also oversees the installation/dismantling of the objects, packaging, exhibition elements, photography for catalogs, and any special conservation and preparatory works necessary to bring the objects to a condition allowing for the loan. The National Museum in Krakow charges a fee for preparing objects for a loan, depending on the number of objects and the type of necessary treatments performed on them. Whenever possible, estimated costs will be provided in advance.

All our loans must be covered by insurance or a Government Indemnity. If it is not possible to obtain a Government Indemnity, commercial insurance must be purchased. The costs of such insurance are covered by the Borrower.

If photography is required, for example for an exhibition catalog, orders should be sent to the Customer Service Department via Anna Studnicka (astudnicka@mnk.pl). In this case as well, the request must be submitted as far in advance as possible. The National Museum will inform the borrower of the estimated costs, should any arise.

The NMK is always willing to negotiate transport requirements for loans on an individual basis.


Summary of the loan procedure:
  • select the objects
  • send a formal request to the Director of the National Museum in Krakow; specify the objects, dates, title, and the main theme of the exhibition
  • fulfill the loan conditions
  • cover the costs

Long-term loans (domestic only)

Long-term loans are subject to review and renewed in three-year periods. Every three years, the Museum will draft a new loan agreement or prepare an annex to the existing agreement. The environmental conditions and the state of preservation of the objects will be checked by our conservator, who will visit the borrowing institution. We may also request photographs of the objects that are our property. The Borrower will cover all costs associated with the review and extension of the loans.

In the event of a change in circumstances at the place of loan or exhibition affecting the loaned objects, the Section for the Movement of Museum Objects and Scientific Inquiries must be immediately notified in writing and asked to approve such a change.


Borrower’s responsibilities (domestic and international loans)

Upon receiving the loaned objects, the Borrower will be bound by the conditions specified in our loan agreement, taking into account the applicable Regulation of the Minister of Culture and National Heritage on safeguarding museum collections against fire, theft, and other dangers threatening their destruction or loss, as well as the methods of preparing collections for evacuation in the event of an emergency. Borrowers are obliged to immediately inform the Museum of any changes that affect the loaned objects. Loaned objects may not be moved without the consent of the National Museum in Krakow. All labels and captions must include information about the owner of the object: “property of the National Museum in Krakow”.
